What changes with the second, third and fifth specialist
While you work alone, everything lives in your head.You know when you are free, which room you use and what each treatment costs. When a second specialist joins, part of that is no longer in your head, and with a team of five it is in nobody's head.
Most team problems don't come from bad people but from unclear rules: who may change which time, who sees which clients, who is responsible when something goes wrong. This article covers the most common challenges and how to organise them so the owner doesn't turn into a dispatcher.
One calendar, many hands
The first problem is usually a shared notebook or a shared spreadsheet. Someone writes a client in, someone else gives the same time away on the phone, and two clients arrive at once. The second problem: each specialist takes bookings in their own Instagram messages, and the owner never sees the whole picture.
What helps:

Rooms and equipment: when two people want one room
You may have more specialists than rooms. Then a time is free only when both the person and a room are free. Without a system, someone checks two notebooks at once, and sooner or later something overlaps.
A good setup: each specialist has a list of rooms they may use, and the system picks a free one. Clients are never offered a time when the room is already taken.
Who sees which clients
Client contacts, notes and visit history are the business's asset and also personal data. There is no need for every specialist to see the whole team's calendar and every client's phone number. This isn't about distrust, it is about order and data protection.
It is usually enough for specialists to see their own bookings and their own clients' contacts and notes. Notes such as an allergy are worth sharing with everyone who works with that client.
Trust isn’t the same for everyone
A team has people who have worked with you for years and people who joined last month. One you'd happily let change their own schedule, prices and even refund a client. For another, those things are better going through the owner.
If a system has only two roles, “owner does everything” and “staff do nothing”, the owner becomes the only person who can change anything. Every holiday, every new price and every shifted working hour lands with one person.
That is why permissions are worth setting per person:
- Schedule: does the specialist change their own hours and days off?
- Services and prices: do they choose what they do and for how much?
- Money: may they ask for prepayment or refund a payment?
- Reports: do they see their own revenue and how busy they are?
Different prices for different specialists
An experienced professional and a newer specialist often charge differently, even for the same treatment. If the price list has only one price, awkward conversations happen at the till.
The fix: one service catalogue for the whole business, and a price adjustment per specialist, for example +10% on every service or a separate price for one treatment. Clients see the price for that specialist straight away on the booking page.
Workload and burnout
When clients book themselves, the most popular specialist can also get the hardest days. Four long treatments in a row look good in the calendar, but not always for hands and back.
Settle this with rules, not with hoping someone notices. For example, how many of these treatments one person can take per day, and how long a gap between clients is needed to clean up.
The owner isn’t a dispatcher
The best sign that a team is organised: the owner can go on holiday and bookings carry on. Ask yourself three questions:
- Can a client book with any specialist without anyone answering a message?
- Can a specialist plan a day off without calling you?
- Can you see how the whole team is doing without asking each person?
