How to choose a booking system: 10 things to compare

Why choosing is harder than it looks
From the outside, every booking system looks the same:a calendar, a list of services, a “Book” button. The differences show up later, once the system is set up, clients are used to the link and switching becomes hard. That is exactly why it pays to compare before you choose, not after.
There is no advertising table with brand names here. Instead, there are ten questions to ask any system, each with an explanation of why it matters. Every point also says how RINDIQ handles it, and the end of the article says honestly when RINDIQ is not the right fit for you.
1. Who owns the clients: you or the platform?
This is the most important question, and the one asked least often. Systems come in two kinds:
- Marketplaces. A client searches the platform, sees you next to other professionals and books there. The upside: new clients can find you. The downside: the client belongs to the platform, may pick your neighbour next time, and clients the platform brought in often come with a commission.
- Your own booking page.The client reaches you directly through your link, Instagram or Google. They don't see anyone else there, and there is no commission.
Neither is bad. If you are short of clients, a marketplace can help. If you have enough and want them to stay with you, you need your own page.

2. How is the price built: per specialist or per plan?
The monthly price in an ad is often the price for one person. When a team has several specialists, many systems add a fee for each extra one. That is not wrong, but add it up in advance.
Look at what is included, too. In some systems reminders, reports or deposits are paid add-ons, and the real price only appears once you switch them on.

3. What does it cost when a client pays by card?
If clients pay a deposit or the full price online, every payment carries a processing fee. The questions to ask: what percentage the system keeps, whether there is a fixed fee per payment, and whether the money lands in your account or in the system's account first.
RINDIQ:payments run through Stripe, and the money goes straight to your Stripe account. Each payment carries a platform fee (0.5% to 1.5% depending on the plan, 2% during the trial) plus Stripe's processing fee. When clients pay in person, nothing is deducted.
4. What language do your clients see?
Many systems are built for other markets, and the local language is partial or missing. You get used to a foreign-language interface, but a client booking for the first time may leave a page they can't read. That applies especially to older clients.
Check the emails and reminders too, not only the booking page. They are often the part left untranslated.

5. Does the system help against no-shows?
A client who doesn't turn up is the biggest hidden cost for any professional. When comparing, ask:
- Can you ask for a deposit, and can you ask only new clients?
- Does the system remember who has missed an appointment before, and can it ask them to prepay?
- Can clients cancel or reschedule themselves, so the time frees up early enough?

6. Which reminders are included?
An email reminder is usually included. SMS costs money, because every text costs something at the carrier. Ask whether you can choose when reminders go out, whether you can send two, and what one SMS costs.

7. Will clients find you?
A booking system only helps if clients reach it. Check that there is a booking page with your prices that you can put in your Instagram bio and Google Maps profile, that booking can sit inside your own website, and that Google can find the page.

8. What happens when the team grows?
A simple calendar is enough for one professional. With a second and third specialist come new questions: who sees whose clients, how rooms are shared, how each person keeps their own prices and hours.

9. Can you leave and take everything with you?
Nobody wants to think about leaving when they are just starting. But it is the best moment to ask: can you download your client list as a file, can you export your booking history, and can you import existing clients when moving from another system?

10. Can you try it without risk?
The best comparison is to set up your own page and book yourself as a client. Notice whether the trial needs a bank card and whether payment starts automatically when it ends.
